Administrative Directive
Introduction
Regular, full-time employees receive personal leave with pay. Employees who are employed under a
Collective
Bargaining Agreement (CBA) should consult the
relevant agreement. Personal leave is considered to
be chargeable
leave and is charged in half-hour increments as described in the Employee Handbook, Section 8.01.
1. Personal Leave
General Provisions
1.1 Personal leave must be approved in
advance by the employee’s supervisor.
1.2 The supervisor determines the
notification period (advance notice to the supervisor) that employees should observe when applying for personal leave.
1.2.1
The supervisor
informs all employees of the preferred notification period.
1.3 The
supervisor approves personal leave if notification conditions have been met and the department will be adequately staffed in the
employee’s absence.
2. Instructional
Support Employees, Full-time
Instructors (covered by CBA) and Food Service Workers (covered by CBA)
2.1 Instructional Support employees,
Full-time instructors, and Food Service workers accrue (earn) personal leave with pay for the academic year. Any
of these employees who is hired after the first day of the academic year receives a prorated amount of personal leave.
2.2 Instructional
Support employees, Full-time instructors, and Food Service workers accrue (earn) personal leave at the rate of .1923 days of personal
leave per pay period.
2.3 Full-time
instructors may accrue a maximum of 30 hours of personal leave per academic year.
2.4 Instructional
Support Employees and Food service workers may accrue a maximum of 40 hours of personal leave per academic year.
2.5
Personal
leave is calculated as follows:

2.6 Personal
leave may be taken before the employee accrues (earns) the maximum hours of eligible leave for the current year. The employee may request approval to take leave up to and including the maximum hours.
2.7
The employee
will reimburse CNM at the time of termination 100% for any personal leave hours taken before actual accrual. The
College may withhold
that amount from the employee’s earnings.
2.8
Not more than
five days of personal leave may be taken together.
2.9 No personal
leave is earned while an employee is on leave without pay.
2.10 If earned personal leave is not taken at the end of the
academic year, payroll will automatically add up to four days of leave to the employee's personal leave account.
2.11
For earned
leave over four days that is not taken at the end of the academic year, the employee has two options:
2.11.1 Converting
the excess to sick leave at 100 percent of the hours. For example, an employee who had four hours of unused personal leave at the end of an academic year (August
31) would have four hours added to his or her sick leave account at the beginning of the next academic year (September 1).
2.11.2 Receiving
payment at a conversion rate of one day’s pay to four days of leave. For example, an
employee with four hours of unused personal leave at the end of an academic year (August 31) would receive payment for one hour at the
employee’s regular rate
2.12 If the employee has unused personal leave at the
time of termination, the employee will not be paid for unused personal leave.
3. Non-Instructional
Employees
3.1
Regular, full-time
non-instructional employees are granted personal leave with pay for the fiscal year.
3.2
Non-instructional
employees are granted one day (eight hours) of personal leave on the first day of the fiscal year.
3.3
Non-instructional
employees who are newly hired are granted personal leave on a prorated basis for the first
year of employment. The amount of leave is calculated as follows:

3.4 Unused
personal leave will be converted to sick leave at the end of the fiscal year at a conversion rate of 100%. For example, an employee who had four hours of unused personal leave at the end of a fiscal year
(June 30) would have four hours added to his or her sick leave account at the beginning of the next fiscal year (July 1).
3.5 If a
non-instructional employee has unused personal leave at the time of termination, the employee will not be paid for unused personal
leave.
4. Definitions

| Chargeable leave |
Leave that is earned by full-time employees for
sick leave, personal leave, and annual leave. When the employee takes the leave, it is
charged against her/his leave account. |
