Procedure

1. Requesting a Temporary Upgrade         

Hiring Official  

1.1 Complete and sign the Temporary Upgrade form and forward it to the appropriate dean, director, or manager.

Dean, Director, or Manager

1.2 Review and sign the Temporary Upgrade form and forward it to the Budget Director.

Budget Director

1.3 Review the Temporary Upgrade form to determine whether funds are available for the upgrade.

1.4 Sign the Temporary Upgrade form and forward it to the Human Resources Director or designee.

Human Resources Director or Designee

1.5 Review the Temporary Upgrade form for the minimum job requirements and for compliance with this policy and Human Resources practices.

1.6 Sign and forward the Temporary Upgrade form to the appropriate Vice President for final approval.

Vice President

1.7 Review the Temporary Upgrade form for compliance with this policy.

1.8 Approve or deny the temporary upgrade if the form does not contain an exception.

1.8.1 If the Temporary Upgrade form contains an exception (i.e., the employee does not meet the minimum job qualifications), forward the form to the President.

1.9 Forward the Temporary Upgrade form to the Human Resources Director or designee.

Human Resources Director or Designee

1.10 Contact the hiring official to discuss other options if the temporary upgrade is denied.

If approved:

1.11 Review the Temporary Upgrade form for the appropriate signatures.

1.12 Assign the Temporary Upgrade form to a Human Resources Technician.

Human Resources Technician

1.13 Notify the department that the temporary upgrade has been approved.

Hiring Official

1.14 Contact the employee to arrange the transition to new job responsibilities.

Human Resources Technician

1.15 Complete a Personnel Data Form (PDF) based on the information in the Temporary Upgrade form.

1.16 Submit the PDF to the appropriate Human Resources Representative for review and approval.

Human Resources Representative

1.17 Review and sign the PDF.

1.18 Return the PDF to the Human Resources Technician.

Human Resources Technician

1.19 Submit the PDF and a copy of the Temporary Upgrade form to the Payroll Department.

1.20 Forward the Temporary Upgrade form to the Records Unit for filing in the employee's Official Personnel File.

Payroll Department

1.21 Adjust the employee's salary, leave accrual, and other applicable data according to the information on the PDF form.

2. Returning an Upgraded Employee to a Previous Position

Hiring Official

2.1 Generate a PDF to return the employee to the previous position.

2.2 Forward the original PDF to the Payroll Department for processing.

2.3 Forward a copy of the PDF to the Human Resources Representative or Technician.

Payroll Department

2.4 Process the PDF.

Human Resources Representative or Technician

2.5 Compare the PDF with the Temporary Upgrade form on file to ensure compliance with the maximum time allowance for the upgrade.
